Overview

These terms govern the Aimspace Consulting website and its requirements services: the Requirements Discovery Sprint to establish a baseline, Requirements Assessment to review existing requirements, and Requirements Continuity to maintain an agreed baseline. These are distinct starting points, not a mandatory sequence. The free Requirements Discovery Cost Calculator is a separate planning tool.

One Sprint

One Sprint covers one defined implementation initiative or workstream, one primary business outcome, one accountable sponsor, one agreed business boundary, and one requirements baseline. A broad initiative produces a broad baseline and does not include detailed requirements for every downstream project, department, workflow, or system.

Evidence channels

Discovery may use AI discovery interviews, meeting transcripts, project documents, or any combination. No individual evidence channel is required for every Sprint. An optional purchaser interview can establish broad project context; detailed operational knowledge comes from stakeholders or existing evidence.

Standard scope

The standard Discovery Sprint is US$7,500 fixed. It includes unlimited private AI discovery interviews and unlimited relevant meeting transcripts for the defined initiative, subject to reasonable use, plus up to 1,000 pages of other uploaded project material. Meeting transcripts do not count against the 1,000-page allowance.

Project material may include proposals, SOWs, policies, process documents, existing requirements, data documentation, supported spreadsheets and registers, and other relevant context. Aimspace prepares one reviewed requirements model, with one Partner Review, one revision, and eight connected deliverables, including the Build Team Backlog and Executive Summary. Expanded scope is quoted separately.

Reasonable use

Unlimited interviews and meeting transcripts cover normal discovery activity for the defined implementation initiative. This excludes automated or bulk ingestion designed to consume excessive processing, unrelated material, large duplicate datasets, archival ingestion unrelated to active discovery, abusive use, general-purpose processing API use, and workloads materially outside the agreed initiative. Aimspace may pause unusual processing or require expanded scope where use materially exceeds normal discovery for that initiative.

Partner authority

The implementation partner is responsible for having authority to engage Aimspace, share End User Company information, invite stakeholders and represent the work appropriately to the End User Company.

Requirements Assessment

The standard Assessment is US$2,500 fixed for one identified version of an existing requirements baseline and agreed supporting evidence. We confirm fit before work begins. The review evaluates supplied requirements for the agreed purpose, including clarity, consistency, coverage, evidence, traceability, priorities, ownership, assumptions, acceptance conditions, and open decisions. It returns one coherent findings package: a summary, evidence-linked issue and gap register, coverage and traceability findings, prioritized recommendations, and next actions. One consolidated factual-correction round for the assessment findings is included. Correcting every underlying requirement, new full stakeholder discovery, rebuilding the complete package, architecture, implementation, and unlimited reassessment of new versions are outside the standard offer. Assessment is not certification, a guarantee of completeness, or formal approval.

Client relationship

Aimspace’s customer is the purchasing implementation firm, not the End User Company. The implementation partner owns and controls the client relationship, commercial terms, client communications, solution decisions, implementation responsibility, and formal approval process. The authorized End User Company approver makes the formal approval decision.

Visibility and branding

Completed outputs are delivered only to the purchasing implementation firm, without Aimspace branding by default. The firm may add its own brand, presentation, and client-facing formatting before sharing the work. Stakeholder interviews use neutral presentation and identify the AI interviewer. Custom logos, colours, domains, and branded interview links are not part of the launch service. Final files are brand-neutral, with no Aimspace logo, sales material, or branded cover page by default. White-label delivery does not remove required privacy, security, contractual, or AI-transparency disclosures.

Discovery access and communication

When AI interviews are used, the implementation partner chooses the participants and distributes the shared interview link through its own communication channels for private resumable stakeholder conversations and handles participant follow-up. The partner may instead or also supply relevant meeting transcripts and project documents. Aimspace does not independently call, email, chase, market to, or sell to the End User Company or its stakeholders, manage client communications, or deliver completed work directly to the End User Company.

Sprint source confirmation and Partner Review

Stakeholders who use an AI discovery interview may confirm that their recap accurately reflects their evidence. Supplied meeting transcripts and project documents remain source-linked and are not treated as participant-confirmed unless separately verified. Evidence confirmation does not approve the whole project or the final requirements package.

After the agreed evidence is ready, Aimspace prepares the requirements and synthesis for one structured Partner Review, covering requirements, relevant stakeholder summaries, assumptions, constraints, definitions, and material gaps or conflicts. The implementation partner checks factual accuracy, missing context, project boundaries, and decisions in one combined response. Aimspace applies one revision and issues the final package.

Timing

The overall Sprint has a 1-week target. After onboarding and the required project context are complete, Aimspace targets preparing the agreed evidence intake within 48 hours. After the agreed evidence is available and selected for analysis, Aimspace targets preparing the requirements for Partner Review within 48 hours. After the combined Partner Review is received, Aimspace targets returning the revised final package within 48 hours.

These are target production times in clock hours, including weekends, and are not guaranteed delivery dates. Evidence availability and stakeholder or partner response time are separate from Aimspace production time. Aimspace will notify the implementation partner if a target cannot be met.

Fees and payment

Standard prices are US$7,500 fixed for the Discovery Sprint, US$2,500 fixed for Requirements Assessment, and US$1,200/month for Requirements Continuity. Scope eligibility is confirmed before acceptance. Payment is made as agreed in writing or through the configured checkout. The browser-based Requirements Discovery Cost Calculator is free and directional. Requirements Continuity is billed monthly and may be cancelled before the next cycle.

Guarantee

If the delivered requirements package is not usable for the implementation partner's build, the partner may notify Aimspace in writing within 30 days of final delivery and receive a full refund of the Discovery Sprint fee. This guarantee applies to the Discovery Sprint fee only. It does not extend to Assessment or Requirements Continuity.

Requirements Continuity

The standard service is US$1,200/month and keeps the active requirements model, traceability, decisions, and package current as implementation changes. It covers one agreed active baseline, 24/7 Requirements AI Partner access, one change intake, one impact assessment, one updated package, one change brief, and one combined Partner Review. A new full stakeholder discovery round or implementation workstream is separate scope.

Continuity may begin from an Aimspace baseline or a usable external baseline accepted after fit review. Routine external-baseline onboarding is included: a supported, reasonably structured baseline, one agreed source-of-record format and version, preserved IDs, an existing supported field mapping, and identified ownership and approval status. The original format need not match Aimspace templates. A clean baseline does not automatically need Assessment. An unclear baseline may be assessed first; Assessment does not repair the baseline or guarantee eligibility. Reconstruction, extensive cleanup or reconciliation, custom connectors, multiple unrelated projects, and unbounded discovery are outside the standard offer.

Baseline versions, sources, ownership, status, requirement IDs, and supported file exchanges or mappings are agreed for the engagement. Proposed, hypothetical, accepted, and superseded changes remain distinct; accepted changes require the appropriate decision and a versioned update. File portability does not promise live integration, universal import, or automatic synchronization. A delivery task marked Done does not by itself accept the linked requirement.

Requirements AI Partner access

24/7 access means the browser-based Requirements AI Partner is intended to be available for use at any time, subject to reasonable use, maintenance, outages, technical limits, and security controls. It does not include 24/7 human support, unlimited API or automated high-volume use, or unlimited compute. Use must relate to the active baseline. The AI Partner may explain supplied baseline information and discuss hypothetical or proposed changes for review. It does not know changes that have not been supplied or approve changes on behalf of the decision-maker. Aimspace may pause unusual or abusive processing or require expanded scope for workloads materially outside the agreed service.

Formal approval

Aimspace does not obtain formal approval from the End User Company. The final package records evidence confirmation where applicable, the Partner Review, open decisions, and current approval status. The implementation partner manages its own formal approval process, and the authorized End User Company approver makes the decision, using the included Validation / Review / Approval Status Record.

Confidentiality and data

Each party keeps the other party confidential information private. The standard service is intended for ordinary confidential business and project information. Highly sensitive, classified, production-credential, health, payment-card, identity, or specially regulated information must not be submitted unless separate controls are agreed in writing.

Retention

Unless a different written term applies, raw AI-interview responses, uploaded meeting transcripts, and uploaded project files are intended to be deleted 90 days after final delivery. Final deliverables and change records may be retained for up to 12 months, subject to Continuity, contractual, or legal requirements.

Deliverables and ownership

After payment, the implementation partner and End User Company may use the delivered requirements package for the agreed project and white-label arrangement. Aimspace retains ownership of its general methods, templates, tools, and reusable know-how.

No implementation or specialist advice

Aimspace provides discovery and requirements analysis. It does not provide implementation, architecture, legal, security, privacy, procurement, tax, or regulatory advice unless separately agreed and qualified.

Limitation of liability

To the extent allowed by law, Aimspace is not liable for indirect or consequential losses. Total liability is limited to the fees paid for the engagement that caused the claim.
